Administrative Assistant, Technical Operations

Job Description:

- Organize / book travel arrangements, handle expense reports and provide administrative support for department executives.

- Manage executive calendars where applicable; schedule meetings; book conference rooms; assist in coordinating department functions

- Administrative support including answering phones, shipping, faxing, copying, filing, pick up and delivery of expense and payroll checks, managing / purchasing of department's office supplies and managing of petty cash

- Ensure delivery of department mail and periodicals

- Processing of department invoices including proper coding, obtaining signatures and submission to AP.

- Create, submit and track purchase orders for Engineering Department. Includes follow through to ensure receipt of orders and status of deliveries

- Update and manage department spreadsheets including reoccurring monthly contracted invoices and support contracts.

- Assist in creating and revising PowerPoint presentations, intranet project pages and other departmental documentation.

- Other special projects as needed.
