Job Description:

The National Guild for Community Arts Education seeks an Office Manager to ensure quality delivery of office services to our staff members, providing support for the organization's general administration, financial management and programmatic activities.

The Office Manager manages office operations including maintenance of the office space, computer network, telephone system, office equipment, human resources, purchasing, mail and related administrative functions.

Founded in 1937, the National Guild supports and advances access to lifelong learning opportunities in the arts. We foster the creation and development of community arts education organizations by providing research and information services, professional development programs, networking opportunities and funding, and by advocating on behalf of the field.

Responsibilities

Ensure quality delivery of office services to staff members including: office space, common areas, office equipment, computer network, telephone system, purchasing, mail, filing and storage
Establish strong working relationships with outside vendors, landlord and the building maintenance staff
Provide administrative support for programs and board meetings, including catering and travel arrangements, and shipping
Work closely with Executive Director, other staff as well as outsourced bookkeeper and accountant to:
- Manage accounts payable and receivables, membership billings and records, cash disbursements and cash receipts including program fees, grants, contribution and publications.
- Maintain files and records relating to finance including invoices and statements.
- Assist in preparation of financial reports, grant reports and audits
Ensure that the office space is neat and orderly
Coordinate employee benefits including vacation/sick time, health and dental insurance, disability, retirement and flex spending account.
Maintain employee and administrative handbooks to ensure that office procedures are documented
Special projects as needed
